The Spector 360 software architecture includes the following six components:
Client Recorder
This software component is configured and installed onto every computer being monitored and can execute in “stealth mode” so the employee is unaware they are being monitored. The Client Recorder is highly configurable and can be used to filter and block specific traffic, schedule network access, generate keyword alerts, and more. Refer to the Record section for detailed information on the specific events recorded. Refer to the Record section for detailed information on the specific events recorded.
Control Center
All of the Client Recorders are configured and managed by the Spector 360 Control Center, which is used to push out the application to the clients located on the company Intranet. The Control Center also is responsible for configuring the Data Vault. Refer to the Manage section for additional information.
Primary Server
The Primary server software, which typically resides on the same machine as the SQL Server, provides services such as software updates and license compliance to all computers configured with the Client Recorder.
Data Vault
All of the Client Recorders send their information to the Data Vault at a predefined interval. This information includes event data, screen snapshots, and email attachments. The Data Vault then relays the event data to the SQL Database and stores the screen snapshots and email attachments on a network share accessible by the Dashboard.
SQL Server and Database
The SQL Server and Database stores all event data collected over time from the computers being monitored. Database management, including backup and archiving, is controlled by the Dashboard application. Refer to the Archive section for additional information.
Dashboard
The Dashboard is the focal point for all Employee Monitoring in Spector 360. The Dashboard queries the SQL server for event data and accesses the network share for screen snapshots and email attachments. The Dashboard is a graphical based .NET Windows application. It is possible to configure more than one Dashboard application on the network. It is also possible to configure multiple Databases, any of which can be accessed via the Dashboard. Refer to the Analyze section for additional information.
The Primary Server, Data Vault, and SQL Server/Database can reside on one server-class machine or can be distributed across multiple machines to improve performance. The Dashboard and Control Center can reside on the same machine, but often these components are isolated from each other for security reasons. The view of each Dashboard can be restricted so the person analyzing the data only has access to the information pertaining to the employees they are authorized to monitor.

In addition to monitoring and recording, Spector 360 has an advanced Keyword Detection and Reporting system that will instantly notify you when a PC user being monitored has strayed from acceptable use of the PC or Internet.
• Email Recorder [view screenshot] - Spector 360 will stamp out abuse with cutting-edge email recording capabilities designed to ensure that you have a clear record of all email being sent and received from company premises. In addition to recording business standard MS Exchange and Outlook email, Spector 360 includes industry-first web mail capturing. This includes web mail services such as Hotmail, Yahoo Mail and AOL Internet Email.
Whenever an email is sent or received, Spector 360 creates a hidden duplicate (including file attachments) and stores it away for later review. Spector 360 also keeps a copy of deleted email.
Recorded email attachments can be securely transferred to the Data Vault using data encryption.
If you want to limit the amount of email recorded, this tool has a filtering capability so emails can be captured when they are sent or received or if there is a particular pattern detected in the To/From/Subject/Body. Other controls allow you to filter email based on the format used or if attachments are detected. In addition, there are granular settings to filter based on attachment characteristics such as size. If you only want to capture email from a specific source you can filter the emails received from designated account types such as MS Outlook, Hotmail, AOL, MS Exchange, or IMAP.

• Web Site Recorder [view screenshot] - he Web Site Recording tool in Spector 360 will continually monitor every web page that is accessed by the computers on your network and save a record of those URLs and domain names.
Spector 360 will also track every file and program download that occurs over the Internet (such as file/music swapping services, software download sites, pornographic images, etc. …)
Spector 360 is significantly more sophisticated than the History feature of your web browser, providing you with important details including: Time of Last Visit, Duration of Time on the Web Site, Active Time on Web Site, Total Number of Visits to the Web Site, Page Title and more!
Additionally, you can use the Spector 360 Control Center to create a Whitelist of web sites that your employees are permitted to view. Any web site not included in this list will be blocked. Alternately, you can create a Blacklist of web sites that they are not allowed to visit. If the web site is not included in this list, they will be able to access it. These policies can be customized for different employees.
With Spector 360’s advanced and intuitive Web Site recording, you will get a quick yet exact picture of each employee’s web surfing behavior, which is also used by the Dashboard to formulate trend data across your organization.

Online Search ActivitySpector 360 records online searches from any web site where known search techniques are used. Spector 360 looks for standard searching techniques, captures the search phrase entered by the employee, the search results URL, and other information. 
Using the Dashboard, you can tell whether the employee actually accessed the web site as a result of an online search. Use the information to understand why an employee is at a web site. For example, find out whether an employee is searching a job web site for professional growth information or to find a new job.

With Spector 360, you will know what was typed, where and when it was typed, and you will also know WHO typed it because Spector 360 keeps a record of who is logged into the computer.
The Spector 360 Keystroke Recording tool will document every key typed on the PC keyboard. Spector 360 not only captures standard alphanumeric keystrokes, but also records "hidden" characters and keystroke combinations, such as the Shift and Ctrl key, as well as those keystrokes that aren’t typically displayed on the screen such as when a password is typed echoing back asterisks on the screen.

Spector 360 will track the day and time a program is launched and the total duration of activity in that program. Program specific information is also recorded including the window title.

You will be able to see at a glance which applications are connecting to the Internet, when the connections are made, the Internet address they connected to, what ports are being used, and the amount of network bandwidth consumed by those connections.
This Internet connection activity can provide valuable insight into:
- Which employees may be violating company policy by consuming network bandwidth with streaming media, file downloads, or other Internet activity.
- Applications connecting to the Internet which you may not have been aware of and which could have security implications.
- Which Internet resources are most often connected to.
Armed with this information you may decide to block access to TCP ports or Internet domains, remove offending applications from computers, or tighten your company’s Acceptable Use Policy (AUP).

• File Transfer Recorder [view screenshot] - There are multiple serious security concerns for businesses when employees use company computers to download files from the Internet, transfer files across the Internet and access peer-to-peer services which are loaded with pornographic images, Spyware, Adware, and pirated music, video and software.
One major concern is whether employees are sending company confidential information over the Internet.
Another concern is whether employees are placing the company at legal risk by downloading copyrighted materials, like music, movies and commercial software. In addition, there is potential risk when an employee downloads pornographic images that will reside on company computers and may be viewed by another employee who would consider such material highly offensive.
Finally, any time a file is downloaded, there is great risk that Spyware and/or Adware will be installed, especially where P2P services are involved. (Dell Computer Corporation has identified Spyware as its single biggest source of technical support incidents, because Spyware will redirect web browsers and eventually slow computers down to a crawl, not to mention the potential for security breaches. Most Spyware enters into computers via downloads from the Internet.)
Spector 360 records Files Transferred over the Internet by keeping track of HTTP, FTP and P2P file transfers. You will be able to see who is downloading or uploading files, what file protocol is being used, which service is being used, the name of the file being transferred and the type of file being transferred (audio, image, video, software, document).
File Transfer Recorder Features:
• Document Tracking Recorder [view screenshot] - Intellectual Property Theft and the leaking of Company Confidential information has become an increasing security threat for companies in recent years as technology has made it relatively easy for employees to copy files to floppy disks, Zip disks, CDs, DVDs, USB drives, Memory sticks or to simply print out these documents and transport them off company premises.
Spector 360 includes a Document Tracking feature which allows you to determine whether files/documents may be exiting your company via removable media such as floppy, zip, CD, DVD or USB storage devices and memory sticks. The Document Tracking feature also allows you to track documents that are printed and who is copying or printing potentially sensitive files or documents.

• Snapshot Recorder - Imagine surveillance cameras pointed directly at every PC on your company network, filming all Internet and general PC activity, and storing this in a secure area for later review. That is the idea behind the Snapshot Recorder tool in Spector 360.
Spector 360 takes hundreds of snapshots every hour on each networked PC, very much like a surveillance camera. Snapshots are taken of whatever is on the computer screen at the frequency you choose – as often as once per second.
That means you get detailed visual recordings of all chat conversations, instant messages, emails typed and read, all web sites visited, all programs run, all keystrokes typed – all activity on all computers.
Snapshot Recording is the most powerful way to visually record and review everything they do online and offline.

• User Activity/Inactivity Recorder - This Spector 360 Recorder collects information on the activity and inactivity of the employee. Events such as when they log in, when they use the mouse and keyboard, and when they are not active on the computer are all recorded. Events that could potentially skew this information are also recorded such as an explicit clock change.

• Keyword Detection & Reporting - Keyword Detection & Reporting allows you to specify words or phrases that might signal an immediate threat to the safety and integrity of your network systems, intellectual property, employees or customers. Keywords can also be used to indicate when an employee might be involved in an activity that is not condoned by your company or is in direct violation of an Acceptable Use Policy (AUP).
Create a list of "on alert" words or phrases and Spector CNE will continually monitor keyboard typing, URLs, incoming and outgoing emails, chat conversations and instant messages for these terms.
When a keyword or phrase is detected, Spector CNE immediately jumps into overdrive. Snapshot frequency is automatically increased to ensure that every detail of the offender’s actions are captured as evidence. Additionally, Spector CNE collects information regarding the offense and sends an instant keyword alert via email to the specified IT administrator or appropriate compliance manager.
Each keyword alert contains the following information:
- The keyword that was detected
- The time the keyword was detected
- The current user logged in to Windows
- Additional detailed information
Spector 360 also reports on the top keyword alerts issued and the top employees violating the keyword alert policy.
Stealth Mode
The Spector 360 Recorder can be placed into Stealth Mode, ensuring that the program cannot be detected by unauthorized users. Once in Stealth Mode, Spector 360 will not appear in an employee's System Tray, Task Manager or in the Add/Remove Program Menu.
Spector 360 Client Configuration Options and Parameters
The Recorder is responsible for logging all activities and screen snapshots from the monitored computer and relaying that information to the Data Vault. The Recorder is highly configurable and can be fine tuned for each deployment. Typically the Recorder is configured and then deployed by the Spector 360 Control Center. Please visit the Architecture Section for additional information on all of the Spector 360 software components.
All Spector 360 event data is stored in an SQL Database with Screen Snapshots and Email Attachments stored on a network share. As data is collected over time by each client, it periodically sends this information to the Data Vault which is responsible for decryption and backend communications with an SQL server and the repository of Screen Snapshots and Email Attachments.
Spector 360 recordings can be archived using one of the following methods:
- Single Network Server (recommended for Small/Medium Businesses)
All PC recordings are automatically archived to a single, centralized network server running the Spector CNE Data Vault.
The Data Vault provides superior security and data management over the traditional method of storing your recordings on each local PC.
The Data Vault handles the function of data storage and security. It is installed in a secure location on your network (computer or server). Individual client computers will automatically upload their recordings to the Data Vault where the data is organized for effortless retrieval and review all while protecting the recordings from tampering and unauthorized access.
All recordings contained in the Data Vault can be automatically retrieved and reviewed across the network – eliminating the need to physically visit each PC.
Using Spector 360 with a Single Network Server

 
- Multiple Network Servers (recommended for Medium/Large Businesses or Corporations)
PC recordings are automatically archived to any one of a number of network servers running the Spector CNE Data Vault. This allows you to centralize the PC recordings as you see fit... by department, floor, building, location, etc.
Using Multiple Servers allows you to organize your recordings by department, office floor, location or any other category you choose.
This provides you with control over where the data is stored on your network and offers a method for compartmentalizing Spector CNE data storage. Each server runs an independent copy of the Data Vault. Groups of PCs are then assigned to this server group and will automatically upload their recordings to the Data Vault.
The recordings in each server group can be automatically retrieved and reviewed across the network – eliminating the need to physically visit each PC.
Using Spector 360 with Multiple Network Servers
 
  
Data Backup
Regular backups of your Spector 360 recordings will ensure that you have a complete historical record of everything that is occurring on your company PCs.
You can perform both full and differential backups of the database and you can use the archive feature to retire a fully populated database and start a new one. All of the database backup and management functions can be performed from a central location using the Spector 360 Dashboard.
The recordings of Screen Snapshots and Email Attachments are all archived into a single folder that is organized into subfolders for each computer that is being recorded. Any backup made to Tape, CD, DVD or other storage media can be easily restored and viewed with Spector 360.
Data Security
Server
Spector 360 implements two primary security standards to prevent unauthorized access to recordings:
- Authentication
- Encryption
Access to the SQL Database is facilitated using either Windows authentication or SQL Server authentication.
All recordings are encrypted by the client before they are sent to the Data Vault. The Data Vault then stores the event data into the SQL Database where authentication is required for access. The Screen Snapshots and Email Attachments are stored on a Network Share using encryption that the Spector 360 Dashboard application is capable of decrypting.
Additionally, you can restrict the views of the data provided by the Dashboard so that a front line manager only can review the recordings of his department. Administrative control of who is authorized to view this data, including full login and password management also is provided by Spector 360.
Client
Recordings (data files) are completely portable and can be viewed on any PC with an optionally installed Spector 360 Client Viewer.
Two primary security standards ensure that recorded data is accessible only to authorized personnel:
- Access Prevention (Hotkeys)

Legacy Data Migration
The Spector 360 SQL Import Utility allows you to import any recordings made with CNE version 4.3 or later into the Spector 360 SQL Database. This utility requires you to specify the locations of the SQL Server and CNE Data Vault. You must also authenticate with the SQL server to perform this operation. Once this process is complete, you can use the Spector 360 Dashboard to view the event data that was produced by CNE.

The focal point for employee monitoring in Spector 360 is the Dashboard, a powerful yet easy-to-use Windows-based application that can reside on one or more PCs on your network. Just like the dashboard of a sports car, the Spector 360 Dashboard provides you with literally dozens of controls and views that enable you to navigate and quickly access the information most important to you. With the Dashboard, you can centrally monitor all of the computers on your network from one location.
Over time, as event data is collected from your employee’s computers and stored into the Spector 360 SQL Database, trends and patterns start to form that the Dashboard can display. You can analyze this information by using any of the built-in graphical charts and reports provided or you can customize these views to suit your specific needs. You can change the view of time for all recorded events, enabling you to focus on the events recorded today, yesterday, last week, a specific month or over an entire year. You can also focus on the activities that occur during specific times of the day. You can focus on one employee, a department, or all of the employees in your entire company. You can also focus on specific computers. For example, in an environment where many users are sharing computer resources such as in a school or library, the monitoring of specific computers may be advantageous.
When you observe the event data across one or more employees in your organization, you can quickly detect performance problems including inappropriate and unethical activity. Analyze how these activities are affecting your company and react to them accordingly.
With Spector 360’s security features, you can empower a front line manager to monitor those in his group while restricting his Dashboard view so he can only analyze the data collected for them and no one else.
The Dashboard offers the following tools for performing analysis of your recorded event data:
- Quick View Tool
Access dozens of predefined charts and grids showing Top "N" and other comparative data from recorded user, program, file, email, chat, and network activity. Adjust the built-in charts and create your own.
- Data Explorer Tool
Explore recorded events by activity. An "Explorer" style window lets you navigate across the activities of your employees with access to the associated event detail. You can export your findings for use in other Windows applications or print the information displayed on the screen.
Quick View Tool
The Quick View Tool enables you to search, filter, and consolidate recorded activities to produce charts and data tables describing trends and patterns of PC and Internet usage. With the Dashboard, you can visualize these trends, make comparisons at a glance, and at any time access the underlying details. The Dashboard presents the data collected from the PCs residing in your network with productivity, security, compliance, and return on investment in mind. Spector 360 empowers you to monitor your employees with both a high degree of granularity and flexibility.
One of the most powerful features in the Quick View Tool is the ability to view predefined charts and data tables showing exactly how PCs and the Internet are being used within your organization through "Top N" and other comparative data. Spector 360 provides literally dozens of these built-in intuitive graphical charts.
You can adjust the predefined charts to customize the environment for your specific needs or create entirely new charts. Click on any data element in a chart to display the details associated with that event.
From this perspective, you can quickly determine when suspicious activity is taking place and find out all of the details associated with the event on demand. At any time you can “drill down” and inspect the associated data with pinpoint accuracy. Focus on one or more employees suspected of inappropriate, illegal, or unapproved conduct or scope out the activities of an entire department or company.
At any time you can invoke the Spector 360 Screen Snapshot Viewer, with its VCR-like controls, to replay the screen snapshots associated with any event just as if you were standing over the shoulder of your employee with a VCR when he typed on his keyboard. You can also generate professional looking usage reports suitable for management review. Alternately, you can access the various parameters associated with each event and filter and sort them based on the criteria that is most important to you.
Additionally, the Quick View Tool empowers you to generate reports on demand from any of the displayed charts or data tables.

With the Spector 360 Dashboard you can perform a quick analysis of how your employees are using Company PCs and the Internet categorized by event type:
Data Explorer Tool
The Data Explorer Tool is used to access the granular details of all recorded events categorized by activity. An "Explorer" style window lets you focus on the recorded events across a specific grouping of employees or computers.
With the Data Explorer Tool you can focus on specific elements pertaining to each activity. The Data Explorer also allows you to export your findings for use in other Windows applications or you can print the information displayed on the screen. You can also access the associated screen snapshots surrounding the event on demand with the Spector 360 Screen Snapshot Viewer.
With the Spector 360 Dashboard you can perform an investigation of any employee suspected of inappropriate or unethical behavior with the User Explorer Tool. This tool is also perfect for performing spot investigations of anyone in your company.

The User Explorer Tool (contained within the Dashboard) is ideal for conducting investigations by displaying the event data associated with individual employees. An "Explorer" style window lets you navigate within the recorded events of any employee. You can export your findings for use in other Windows applications or print the information displayed on the screen.
The User Explorer Tool empowers you to navigate events at a high level and then load those events of interest so you can “drill down” and view the associated details. Both a summary and detail view is provided. At any time you can view the actual screen images associated with those events using Spector 360’s Screen Snapshot Viewer with its “VCR-like” controls. Documenting infractions for corrective action is a simple process and can be performed with the click of a mouse.

With the Spector 360 Dashboard Search Engine you can search for that needle in a haystack by quickly finding the occurrences of any expression in ALL of your recorded event data. Your search can be applied to any of the event types supported by Spector 360 one event at a time. As your organization grows and the volume of archived data increases, it is crucial to be able to quickly find the information that is most important to you.
Examples of how you can use the Spector 360 Dashboard Search Engine:
- Identify the employees using the domains of the competition in outgoing Email that could indicate digital leakage or recruiting.
- Identify the employees sending out Email containing the expression “INTERNAL USE ONLY” in the contents of the message that could indicate digital leakage.
- Identify the employees accessing Web Sites that have the words “sex” or “gambling” or “guns” in the viewed page.
- Identify the employees using Chat or IM with “hot stuff” or “cutie pie” or “hey baby” in the content field that could represent instances of sexual harassment activity.
- Identify the employees accessing Web Sites that prompt for credit card information, which could indicate personal use of office computers.
- Identify the employees using any program that prompts for authentication to make sure that they are authorized to login to them.
- Identify the employees using Online Searches to find out information on “drugs” or “pills” or “marijuana”.
- Identify the employees who transferred files with file names that end in “.zip” or “.c” , indicative of potential source code theft.
- Identify the employees who printed the customer list by specifying the name of the file to the search engine.
Search by Keyword
The Dashboard accepts any number of search keywords, up to 99 characters that make up the search term criteria. The search term criteria is then matched against the fields in one or more focus areas of the event records, such as the URL of a web site. At least one field must match the search term criteria before a record is returned as a match. In addition, if the “Include partial matches” checkbox is selected, a search of “soft” will match “SpectorSoft”.

Both words, "corporate" and "monitoring," must be found in one of the selected fields in any arrangement, such as "corporate monitoring " or "corporate monitoring and network monitoring." If the words are found in separate fields ("corporate" in the URL and "monitoring" in the Window Caption) it is not a match.

Quotation marks specify an exact match. The phrase "corporate monitoring " must have an identical match in any selected field.

Using the OR operator, either word can be matched; "corporate monitoring ," "corporate network," or just "monitoring" in a selected field would return the record.

The reports offered echo the charts provided in the Dashboard Quick View Tool, any of which you can modify and adjust for your specific needs. You can also export any report to Acrobat PDF, HTML or one of several other popular formats for use in other Windows applications. You can even incorporate text, watermarks or logos into your reports to make them look like your other company documents.
With the Reports Tool you can organize your most frequently accessed reports in a “Favorites” folder for quick access. Each report includes a chart and data grid. Keep management updated on a regular basis by scheduling the Dashboard to print or email reports to them.

The management of Spector 360 is addressed by the Control Center and Dashboard Management Tool. The Control Center is responsible for the remote management and configuration of all PCs being monitored while the Dashboard Management Tool is responsible for the management and configuration of all monitoring functions and the backup and archival of the SQL Database.
Spector 360 Control Center - The Spector 360 Control Center provides the capability to change the configuration of the Data Vault Server, Database Storage, and Primary Server. It also can be used to change the parameters for client communications and security.
The Control Center also allows you to remotely manage and configure the monitoring component for each of the PCs on your network. With this tool you never have to physically visit individual PCs.

Managing deployment of Spector 360 in your organization is a breeze. Each computer on your network can be sent an invisible file that will initiate installation of the Spector 360 Recorder. Installation occurs on the PC at the date and time you specify and is completely undetectable by the user. Likewise, the Recorder can be uninstalled transparently from within the Control Center.
A built-in Deployment Utility is used to create configurations for remote installations allowing you to predetermine which elements of the Recorder are active upon installation and fine-tune other settings. These configuration files can be saved and reused as part of additional installations.
- Configure Computers - (Turn recording on/off and change settings remotely) - Spector 360 offers the flexible recording options you need. For instance, you may wish to record only email on one PC while recording email, chat and instant messages on another.
With a single click you can view which elements of the Recorder are active and inactive at each individual computer. Configuring these settings or simply turning the Recorder ON or OFF can be accomplished from within the Control Center.
MMC Snap-In
The Spector 360 Control Center is a standard Microsoft Management Console (MMC) Snap-In. By using the Windows MMC framework, Spector 360 will minimize your ongoing administration costs by providing simplicity, consistency and integration into your existing network.
System administrators will find the Spector 360 interface familiar and will be productive from the start without any special training. MMC is included in the Windows XP and Windows 2000 operating systems.
Spector 360 Dashboard Management Tool
The Dashboard provides a privileged “Super User” account to manage the following:
- Dashboard Authentication
- Dashboard Access Privileges
- Dashboard General Configuration
- Dashboard Scheduling of Reports
- SQL Database Backup and Archive Jobs
- Network Accessible File Storage Location of Screen Snapshots and Email Attachments
To use the Dashboard application you must first authenticate by using Windows Authentication or SQL Server Authentication, the latter requiring a valid login and password. Once you authenticate as a Master User, you can set up other Master User accounts and Standard User accounts and customize the Dashboard to suit your specific needs.
Master User
The Master User account type can set up other login accounts and restrict which employees they can view. For example, you can install the Dashboard on the PC of a front line manager so he can monitor the employees in his department but restrict him from being able to view the recordings of anyone else in the company. This type of account can also manage core data resources within the Dashboard such as computers, domains, programs, and users. Only the Master User is capable of performing SQL Database management. Only a Master User can assign another Master User SQL Database management privileges.
Standard User
The Standard User account type is very restricted. This type of User can not make any changes to the core data resources, however, they can add, delete, and modify the Dashboard charts and reports and change the Global Criteria without affecting any other Dashboard User. The Standard User must be configured for SQL Server authentication if the User is required to change his own password. This type of account can also schedule reports on permitted data if configured for Windows Authentication.
In addition, the Management Tool allows the User to perform the following tasks:
- SQL Database Management
Schedule full and incremental backups of the SQL Database, manage and configure the Database archives, and monitor the status of all Database jobs. This function can only be performed by the Master User.
- File Storage Location
Controls the location of the network share where Screen Snapshots and Email Attachments are stored. This function can be performed only by the Master User.
- Add, Edit, and Delete Resources
Allows you to manage the core data resources representing Computers, Users, Programs, and Domains or group any of these into identifiable entities. For example, you can create a group of users called “Sales” populated with the employees that make up the Sales department. Alternately, you can create program groups of all productivity related programs. You can also create a Domain group comprised of the domains that make up your competitors and so on. This function can be performed only by the Master User.
- Schedule Reports
Arrange for regular delivery of important Dashboard reports to an email address, file, or printer. This function can be performed by both the Master and Standard User as long as Windows Authentication is used.
